Refund and Cancellation Policy
DRAFT – requires review by a Philippine lawyer before launch. This is a first draft. It is not legal advice and it is not final. Questions: the contact form.
This policy explains how to cancel a service of Hostactor and when you can get a refund. It is part of the Terms of Service. Nothing in it limits rights you have under Philippine consumer law that cannot be waived.
1. How to cancel
- Use the cancellation form. You do not need to sign in.
- Or write to the contact form.
Every request gets a reference number, and we e-mail you a confirmation with the date and time we received it. We then review the request and tell you by e-mail when the service stops and the refund amount, if any.
2. Your options
- At the end of the paid period: the service keeps working until the end of the period you paid for and then stops. It does not renew and nothing more is charged.
- Now: we stop the service within three business days of your request, unless you ask for a later date. Whether part of the payment is refunded follows section 3.
- A new purchase: cancel a recent first purchase and ask for a refund, as section 3 explains.
- A domain: cancel the next renewal of a domain. A domain already registered or renewed stays yours until the end of its period (see section 4).
Before a service stops, download your content, files, e-mails and databases. We do not charge a fee for cancelling.
3. Refunds
Refund period for a new purchase. If you cancel the first purchase of a subscription (such as hosting, a managed website, store or card plan, a maintenance plan, AI tools or SEO tools) within 7 days of paying for it, we refund what you paid for that subscription, minus the items listed below that cannot be refunded.
What cannot be refunded:
- domain registrations, renewals and transfers once they have been completed (section 4);
- one-time services, such as setup, migration, SEO audits or done-for-you work, for the part of the work that has already been done. If you cancel before the work starts, we refund the payment for it;
- AI usage, credits or other usage-based items already used;
- third-party items bought for you at your request (for example premium themes, plugins or licences);
- payment provider fees or exchange-rate differences that are not refunded to us.
Renewals and stopping early. We send renewal reminders in advance so you can cancel before a renewal. Once a renewed period has started, its payment is not refunded, and stopping a service early does not give a refund for the unused part of the period, unless the law requires it or section 6 applies.
How refunds are paid. Refunds go back through the payment method you used: card payments are refunded through our payment provider, and manual payments (such as GCash or bank transfer) to the account you paid from, after we confirm its details with you. When a refund is approved, we issue a credit note and tell you the amount. How long the money takes to reach you also depends on your bank or e-wallet.
Chargebacks. If you think a charge is wrong, please contact us first so we can fix it quickly. While a chargeback or payment dispute is open, the service it paid for may be suspended.
4. Domains
Please note: a domain name is registered or renewed with an outside registrar or registry, and Hostactor is charged as soon as this is done.
Once a registration or renewal is completed, it cannot be cancelled, the domain name cannot be changed, and it cannot be refunded, because the cost is paid to the domain registrar or registry.
In the rare cases where the registrar or registry allows a cancellation or refund within a grace period, Hostactor follows the terms that apply to that domain.
Nothing here limits rights that cannot be waived under the law.
You can stop the automatic renewal of a domain at any time. The domain stays registered to you until it expires, and you can transfer it to another provider with its transfer code. See the Domain Registration Terms.
5. What happens to your data
- When a hosting or managed service ends, we keep its data for 14 days so you can download it, unless the law or our Acceptable Use Policy requires earlier deletion. After that it is deleted, including from backups as they expire.
- Invoices and payment records are kept as the law requires, as described in our Privacy Notice.
6. When we end a service
- If we stop offering a service for business reasons, we tell you at least 30 days in advance and refund the unused part of any period you paid for.
- If we cannot provide a service you paid for (for example a domain that turns out not to be available), we refund what you paid for it.
- A service that is suspended or ended because of a serious breach of our Acceptable Use Policy is not refunded, unless the law requires it.
7. Questions
Write to the contact form or use the support form. If you are a consumer and we cannot solve a problem together, you may also contact the Department of Trade and Industry (DTI).
